Privacy statement and data protection notice in accordance with the EU General Data Protection Regulation (2016/679). Drawn up on 7 July 2026.

2. Name of the register

User register of the Suonenjoki Ice Hall ice time booking system.

3. Purpose and legal basis of processing

Personal data is processed for booking ice time, managing bookings and invoicing. The legal basis is a contract (booking on behalf of an organisation) and the legitimate interest of the data controller (verifying bookings and invoicing, preventing misuse).

4. Data contained in the register

  • Name, email address and phone number
  • Organisation memberships and roles
  • Booking and cancellation history and invoicing events
  • Event log (who did what and when) and technical data related to signing in (e.g. IP address when a one-time code is requested)

5. Regular sources of data

Data is obtained from the users themselves when they accept an invitation and maintain their profile, and from the organisation's administrator when a user is invited. Booking and invoicing data is generated by using the service.

6. Disclosures and transfers of data

Data is not disclosed to third parties or transferred outside the EU/EEA. The service runs in a cloud environment located in the EU. Invoicing data may be used to prepare invoices in a separate invoicing system.

7. Retention period

User data is retained for the duration of the customer relationship. When a user is removed, the data is deactivated; the name of the booker remains in the booking history and the event log to verify bookings. Data related to invoicing is retained for the period required by the Finnish Accounting Act.

8. Protection of the register

The data is protected by technical means: traffic is encrypted (HTTPS), signing in uses a one-time code sent by email and no passwords are stored, access to the data is limited by role and events are recorded in a log.

9. Rights of the data subject

The data subject has the right to inspect the data concerning them, to demand that incorrect data be rectified or erased, and to object to or request restriction of processing. The data subject also has the right to lodge a complaint with a supervisory authority (the Office of the Data Protection Ombudsman).

10. Cookies

The booking system only uses a session cookie that is necessary for signing in. No tracking or marketing cookies are used.
